GREENWOOD MEDIA SOLUTIONS – TERMS & CONDITIONS

PAYMENT

A 50% payment of the total invoice value is required upon booking all media work, the remaining 50% must be paid in full upon completion. Invoices paid in full will be deemed as acceptance of satisfactory work carried out by Greenwood Media Solutions.

OWNERSHIP, RIGHTS & USAGE

All media work remains the property of Greenwood Media Solutions until full payment has been made, only when the invoice has been paid in full will any work be published.


VIDEO PRODUCTION

Our standard video production service includes 1 consultation and 1 video production session (timings are specific to each client). Any changes to the agreed storyboard or video shoots that run longer than the allocated time will be charged for separately at our standard hourly rate.

CAMERA OPERATOR & FULL PRODUCTION KIT:
Camera Operator for a day (8 hour – additional hours are charged for hourly).
Panasonic Lumix GH4 – 4K / Full HD Camera with Canon EF Lenses.
Manfrotto 503 Pro Video Tripod.
Gimbal – DJI Ronin-M 3-Axis Handheld Gimbal Stabilizer.
Sennheiser EW 100 G2 – Clip-On Radio Microphone / Sennheiser ME 66 – Highly Directional Microphone / Sennheiser MD 46 – Reporter’s Microphone.
Additional equipment is charged for separately, please ask for a quote.


VIDEO EDITING

Our standard video editing service includes 1 consultation, 1 video editing session (timings are specific to each client) and 1 round of minor changes. Any additional changes after the ‘first round’ of changes will be charged for separately at our standard hourly rate. We ask that clients are very specific about the changes they would like and cover in detail all these changes in one email.

STANDARD VIDEO EDITING PROCESS (8 hours):

Digital Capture & Transcode (2 hours minimum).
Digital Video Editing (4 hours minimum).
• Colour Grading / Audio sampling (1 hour minimum).
Video Export & Upload to website (1 hour minimum).

MINOR CHANGES: Making minor changes like adjusting a few of the clips in the timeline order sequence, swapping a music track or altering a graphic title would be classed as standard ‘minor changes‘.

MAJOR CHANGES: Making major changes like completely changing the running order sequence, adding in additional video footage not filmed by GMS or asking for the video to be half it’s original length would be classed as ‘major changes‘.

STUDIO EDITING: This is often the quickest and most cost effective method of video editing. Our normal work practice is to meet up and go through the first draft of the edit with the client, then any changes can be made quickly with out the need export and send over re-edited videos. This workflow means the client gets exactly what they want a lot quicker rather than having to re-edit, email / phone through additional changes.

REMOTE EDITING: We often use remote editing as a way to edit videos in our studio without the client needing to be present. Communicating via telephone and email we can often process alterations and then email over an updated video. However, because of the nature of video editing even a small change that might only take 10 minutes to correct in the edit can take a few hours to process and get sent back to the client. On average a short 5 minute video will take 1 hour to export at low resolution and re-upload or email back to the client.

EXTRAS: We are happy to accommodate any extras you may want added to your video however these will be charged for separately at our standard hourly rate. A typical “extra” would include anything that has not been specified in the initial quote and is not in writing or on a storyboard prior to any video editing starting. A normal “extra” would be for additional video or photos to be added to the video edit during the video editing process.


WEDDING VIDEOS

All packages include one final video montage of the day delivered on USB Stick or DVD for easy playback and use on any device.

The film packages offered are designed as a guide only and can be customised to suit your requirements – please provide us with further details.

Professional graphics are used in the video but we can incorporate a specific graphic set or font if you wish.

We can also add your favourite 50 wedding photographs in a hi-resolution slideshow at the end of the video upon request (photos provided by separate photographer).

A popular request is to have a slideshow at the beginning of the video showing photos from the couples / individuals childhood / teenage years etc. Photos must be supplied via email or on a memory stick as JPEGs prior to video editing starting. We can also include honeymoon photos but please be aware this may delay the delivery of the final video.

It is our aim to have the finished video within 4-weeks of the wedding day.

Additional filming is charged at £50.00 p/h.

Travel expenses will be charged for if the location is further then 50 miles from the GMS business offices (CR3 5LL).


WEBSITE DESIGN

Our standard website design service includes 1 consultation, 1 website build and 1 round of changes.

CHANGES: Any additional changes after the ‘first round’ of changes will be charged for separately at our standard hourly rate. We ask that clients are very specific about the changes they would like and cover in detail all these changes in one email.

ALTERATIONS: We can make alterations during or after the website design process, however all subsequent alterations will be charged for at our standard hourly rate.

EXTRAS: Adding additional pages, images or information can be made at any point during the website design process but will be charged for separately at our standard hourly rate. A typical ‘extra‘ would include anything that has not been specified in the initial quote and is not in writing prior to the website build starting. A normal “extra” would be adding an extra page or gallery into the website after the majority of the website has been built.

CONTENT: It is the responsibility of the client to supply all text, image and video content. If you would like GMS to supply the content for your website you will be charged for separately at our standard hourly rate.

WEBSITE HOSTING: We currently charge £6.00 per month / £72.00 per year for hosting your website and includes 1 website & up to 5 email accounts. We host all our websites and email addresses using a Virtual Private Server and allocate 500mb of storage per website. Website hosting is billed for annually and must be paid in full with 30-days of invoice, failure to do this will result in your website being suspended temporarily for an additional 30-days. If the invoice has not paid after 60-days your website will be taken offline and your your hosting account will be terminated. All websites are kept on an ‘Auto Renew’ basis and charged for yearly, for security reasons we will ‘Auto Renew’ your website hosting unless given notice (14 days) prior to the domain name renewal date.

EMAIL ACCOUNTS: We charge an initial set-up configuration fee of £10.00 per account and limit all email accounts to 250mb each unless otherwise specified.

DOMAIN NAMES: We quote for al domain names on an individual basis because of the different prices of URL extensions (.com, .co.uk, .net, .org etc). All domain name transfers and purchases have a configuration fee of £10.00. All domain names we register are kept on an ‘Auto Renew’ basis and charged for every 2-years, for security reasons we will ‘Auto Renew’ your domain unless given notice (14 days) prior to the domain name renewal date.

SECURITY: All websites and email accounts we host are password protected but it is the responsibility of the client to make sure their password is kept in a secure place and that they regularly change it for security reasons (recommended every 3-months). Greenwood Media Solutions will take no responsibility for website’s and / or email accounts being hacked, we will not accept any liability for loss of private information.


MUSIC COMPOSER

All ‘Musical Composition Copyright’ and the ‘Sound Recording Copyright’ on all music provided for or via GMS remain the ownership of Anthony John Gabriel. However we are more than happy to negotiate a buy-out fee should you (client) wish to go down that route. We offer a range of services all with individual prices listed below.

EXTRAS: Adding additional images or information can be made at any point during the graphic design process but will be charged for separately at our standard hourly rate. A typical ‘extra‘ would include anything that has not been specified in the initial quote and is not in writing prior to the graphic design starting. A normal “extra” would be adding an extra image or page being added to a PDF after the majority of the PDF has been built.

CONTENT: It is the responsibility of the client to supply all text and image content. If you would like GMS to supply the content for your graphic design work you will be charged for separately at our standard hourly rate. Please also note that it is the responsibility of the client to proof read and check all media work for typos before it goes to print. We always recommend printing a few copies and asking friends and family to check the spelling & phone numbers etc, when you are ready to print we also recommend printing a small run just incase a typo slips through the net, then and only then do we recommend printing large quantities.
